Action Plans are Great Agent's automated drip campaigns that can be customized based on where your lead is at in the buying or selling journey. Read below to learn more about Action Plans and how they can help you close more deals while doing less work.
How to get there
Action Plans can be accessed within the Marketing section of the CRM left navigation menu of your Great Agent CRM. If you're already logged in to your CRM, you can click here.
Great Agent Action Plans
Your account comes preloaded with a handful of Great Agent created Action Plans suitable for a number of different scenarios. You can use those plans as-is, or customize them to better fit your personality and preferences.
To customize an Action Plan, click on the copy iconfrom the Action column
You can also create new Action Plans from scratch.
Modifying an Action Plan
The first thing you see when viewing an Action Plan is the name, description and settings that have been defined for the plan. When copying a Great Agent Action Plan, the copied plan will be appended with the date and time. This allows you to always be aware of the latest and greatest if you make multiple iterations.
Additionally, each plan comes with a field that describes how and when the plan should be used.
The Target Plan Type indicates whom the plan should be applied to (buyers, sellers, etc.). Your Sharing settings allow you to indicate who can see and utilize the plan.
- Do Not Share is a plan you want to save for personal use only.
- Share With My Company Only is a plan that can be used at any Agents within a company. This is especially useful for Brokers and Admins that want to provide resources for their entire team.
- Share With All Great Agents can be used to share an especially useful plan with the entire Great Agent community.
The Event Triggers can be used to help automate when a plan should begin or end, based on the actions of the lead.
- Auto-Start this plan when... allows you to start a plan based on several different criteria:
- lead stage (e.g. start a plan when a New lead comes into the platform)
- the lead requests a showing
- the lead marks a house as a favorite
- The lead visits the site after 1, 2 or 6 months (to automatically re-engage leads who may be renewing their search)
- Auto-Pause this plan when... means that the plan will stop when a you or the lead take a specific action. If you log that you have successfully had a conversation with a lead, it makes sense to automatically stop sending confusing, automated messages to a lead you've spoken with. This same logic applies to text and email correspondence. You can also set plans to Auto-Pause when you change a lead's type or when a lead's stage in the buying process changes.
Action Plan Steps
Action Plans can be configured to automate your communication plan with leads in a customized and personal way. The first step begins based on the Wait time after the plan has been applied to a lead. Subsequent steps are triggered based on the Wait time after the previous step.
Just select your desired Action Type from the dropdown and make any adjustments to the timing and copy as desired. You can automatically schedule emails, texts, tasks or change a lead's stage through a series of intelligent and customizable steps. Emails and texts are comprised of templates that can be used across different Action Plans or one-off messages.
You can preview (blue button) a selected email or text template to see what it will look like when being sent to your leads, edit a template (orange button) that you wish to modify or create a new template (purple for email, green for text) directly from the Action Plan screen.
Wait Times
Action Plan Steps are triggered by the designated Wait time relative to the previous step. Wait times can be configured based on minutes, hours, weeks or months. This makes it easy to schedule a weekly touch point with a Hot lead or keep in touch monthly with a lead you're nurturing long-term.
Plans that are set to Auto-Start will upon meeting the criteria of the first step after the Auto-Start trigger.
Merge Fields
Merge Fields allow you to customize certain elements of your communication with leads to give each message a personal feel, despite being automated.
Example of a message with Merge Fields:
Hi [LeadFirstName] - I hope you are having a great [DayName] [TimeOfDay]. Would you like to go view any properties this weekend? -[AgentFirstName], [AgentTitle]
Message with Merge Fields translated:
Hi Melissa - I hope you are having a great Tuesday afternoon. Would you like to go view any properties this weekend? - John, Realtor
Applying Action Plans to Leads
To apply an Action Plan to a lead, simply click on that lead's name from the Lead Command Center and select the Action Plans tab on their Lead Details screen. Then, click on the Apply button in the far right Action column.
You can also pause a plan at any time after applying it to a lead.
